Welcome to the Launch of our brand new AI Media Company, Smarter Living!
Each week, we send over 3000+ readers AI tools and tips that solve problems in your day to day life.
"I have a 200-page Google Doc of ChatGPT prompts. I screenshot YouTube tutorials. I keep 47 browser tabs open. And I'm getting beaten by competitors using basic ChatGPT because I can't find anything in my own system."
This confession from a marketing consultant on Reddit got 3,400 upvotes and 892 comments saying "Holy sh*t, this is me."
The great irony of 2025…
The people who invested the most in learning AI are now the least productive with it.
Here's what else she admitted:
"I've spent probably 100+ hours collecting the 'perfect' prompts.
Marketing prompts, sales prompts, strategy prompts. I watch YouTube tutorials at 2x speed and screenshot everything because ChatGPT can't process videos. My desktop is a graveyard of screenshots named 'Screenshot 2024-11-15 at 3.42.17 AM.'
Last week I lost a client to a competitor. I know for a fact they use basic ChatGPT. But while I was searching through my prompt library trying to find that 'perfect customer persona analyzer,' they just...shipped the work.
I've become a prompt hoarder. And it's killing my business."
The responses revealed an epidemic:
"I literally screenshot everything from video tutorials because ChatGPT can't process video content"
"I asked GPT-5 to summarize a document into a table, something 3 and 4 could do instantly, and it just broke. I wasted 30 minutes fixing its mistakes"
"It's like my ChatGPT suffered a severe brain injury" (4,600+ upvotes)
Another consultant chimed in:
"Managing research across multiple tabs and apps is exhausting. Yesterday I had ChatGPT open in 12 tabs, each for a different client project. I couldn't remember which conversation had what context. Spent an hour just trying to find a proposal framework I'd created the week before."
These quotes aren’t from beginners…
These are the power users →The early adopters.
The ones who've been "leveraging AI for competitive advantage" since day one.
They've become so sophisticated that they've strangled themselves with their own systems.
The Problem: You're Over-Organized.
Here’s the common pitfalls of an enthusiastic Ai user:
Time Hemorrhage: wasting 2-3 hours a week searching for that "perfect prompt" you saved
YouTube Black Hole: spending 3+ hours watching educational videos…while only getting 15 minutes of Ai tips you’ll use
Context Switching Chaos: 12 tabs, 5 documents, 3 tools…you delay getting things done with all this distraction
Quality Degradation: Can't recreate your best work because those great prompts get lost in old ChatGPT conversations
Bad Ai Habits: You end up repeating the same bad habits, and get the same poor results
The worst part is every productivity "solution" makes it worse. Another app to manage. Another system to maintain. Another folder structure that will inevitably fail.
You don't need better organization.
You need something to organize it all for you:
Option 1: The Smart Way
Tools needed: ChatGPT Plus ($20/month) + Google Docs + Your Sanity
Step 1 - The Prompt Library Purge (15 minutes)
First rule is admitting you have a problem LOL, then accepting the fact that 90% of your saved prompts are useless.
Here's how to extract your best performing ones:
Open ChatGPT and paste this:
I'm going to paste my entire messy prompt collection. Your job is to:
1. Identify the 10 actually useful patterns (ignore variations)
2. Combine similar prompts into master versions
3. Create a simple categorization (5 categories max)
4. Rewrite each to be more powerful and flexible
Here's my prompt dump:
[Paste your entire 200-page disaster here]
Output format:
CATEGORY NAME
- Master Prompt 1: [enhanced version]
- Use case: [when to use this]
- Variables to customize: [what to change each time]
Give me only the refined essentials. Murder all the darlings.
Step 2 - The YouTube Learning Extractor (10 minutes per video)
Stop screenshotting tutorials. Use this instead:
I need to extract actionable insights from a YouTube video about [topic].
I'll provide the transcript in chunks.
For each chunk, identify:
1. Key concepts (one line each)
2. Specific techniques/prompts mentioned
3. Action items I can implement immediately
4. Ignore: Intro fluff, self-promotion, repetition
After all chunks, create:
- One "Master Implementation Checklist"
- Any prompts mentioned, enhanced and ready to use
- 3 key takeaways in one sentence each
[Paste transcript chunk - get from YouTube's ... menu > Show Transcript]
Step 3 - The Context Preservation System (2 minutes per project)
For managing multiple client projects without 47 tabs:
Create a "Project Context Card" for my work:
PROJECT: [Client/Project name]
CONTEXT DUMP: [Everything about this project - goals, tone, previous work, preferences, weird requirements, that thing they mentioned once about hating Oxford commas]
Transform this into:
1. A "Context Loading Prompt" I can paste at the start of any new ChatGPT conversation
2. Key reminders (5 bullet points max)
3. Standard outputs this client expects
4. Prompts specifically tuned for this project
Format it so I can copy-paste it into any new chat and instantly have context.
Step 4 - The Prompt Evolution Tracker (Ongoing)
Stop losing what works:
I just used this prompt and it worked perfectly:
[Paste your successful prompt]
The output was:
[Paste what it produced]
Create three things:
1. An "enhanced" version of this prompt that's more flexible
2. Three variations for similar use cases
3. A simple "recipe name" I'll remember (like "The Client Psychology Decoder")
Also note what made this prompt work so well (specific phrasing, structure, etc.)
Option 2: The Smarter Way - Use Ultra AI
This tool helps you store all your Ai prompts in 1 tab
I found Ultra AI when I was about to rage-quit ChatGPT entirely.
What I discovered wasn't another tool to manage. Ultra actually transformed ChatGPT into what it should have had from day one.
And it only took 10 seconds for me to fall in love.
I installed Ultra and all of a sudden my ChatGPT looked...
Different.
Professional.
Like a real work tool, not a chat toy.
The Prompt Library That Builds Itself (This is insane):
You tell it your focus area and answer a few questions. Then it goes into what they call "recursive enhancement." The AI prompts itself over and over, building an entire library of custom prompts for your specific work.
15 minutes later, you have prompts like these built for you (examples):
"Fractal Pattern Finder" (finds hidden patterns in client work)
"Expertise Atlas" (maps out knowledge domains)
"Reverse Question Generator" (turns answers into better questions)
These prompts are built from YOUR answers, for YOUR work.
And they live in a sidebar, organized, searchable, always there.
The YouTube Integration:
Watch a tutorial. Click the Ultra button. Ask questions about what you're watching. No more screenshots. No more rewinding. Just "Hey, what was that prompt he mentioned at 3:42?"
The Interface That Simplifies all Your ChatGPT Workflows:
Simple tabs that make sense (not 47 browser tabs)
A home screen with your apps and tools
Forms you can create and publish
Image tools that remember your preferences
This Feature Made Me Cancel My Other Subscriptions:
Three Words:
Multi…Step…Prompts.
You create a sequence of prompts that run automatically. For example:
Research client's industry
Generate strategic recommendations
Create executive summary
Format for presentation
One click. Walk away. Come back to finished work.
What Really Sold Me: My prompts & research doesn’t disappear in my cloud storage. They're organized by project, searchable by keyword, and evolve based on what works. I use them more often now because they're right there in the Ultra sidebar, not buried in some Google Doc.
The Price That Made Me Pull the Trigger: Ultra AI is running a special for $129/year (down from $179).
We love Ultra so much, that we reached out to their team, and asked if we could get a special discount for our newsletter readers…

Final Thoughts
You’re not disorganized. You’re not lazy. You’re not "doing it all wrong."
You’re drowning in Ai advice.
Every Ai prompt collected was supposed to save time. Every screenshot was supposed to capture something ‘actionable’. Every pinned google chrome tab was supposed to keep you focused…
Instead, you’re trapped inside an illusion of productivity.
You know what the most productive ChatGPT users have in common?
They don't have prompt libraries. They have Ai workflows.
Your 200-page Google Doc of $10 prompts isn't making you smarter…
Delete it.
Start using tools (like Ultra) that keep you sane while leveling up your Ai skills.
That's all for this week.
See you next Tuesday.
